How freelancers usually bill
Most freelancers bill a fixed project fee, a day rate or hourly. Agree the model before you start, and put it on the invoice in the same words as your quote.
What to put on your invoice
- Your business name and contact details (and company number if you are a limited company)
- Your client's name and address, and their PO or project reference
- A unique invoice number, for example INV-OCT-001
- Issue date, due date and payment terms
- A clear description, quantity and price for each line
- Tax, only if you are registered, with the rate and amount
- How to pay: a card payment link and your bank details
Tips to get paid faster
- Quote the client's purchase order or project reference. Accounts teams often cannot pay without it.
- Use payment terms of 14 days or less for new clients.
- Add a pay-by-card link so the client can pay the moment they approve the work.
Questions people ask
Do I need to register for VAT, GST or sales tax to invoice as a freelancer?
Not at first in most countries. You register once your turnover passes your country's threshold, for example £90,000 in the UK, A$75,000 in Australia or C$30,000 in Canada. Until then, do not add tax or show a tax number. Our country guides list the thresholds.
What should a freelance invoice include?
Your name and contact details, the client's details, a unique invoice number, issue and due dates, a description of the work, the amount, and how to pay.
